Birmingham City University is a large and diverse place to study right in the heart of the city and we are looking for a high-calibre Administrative Assistant to join our student focussed team in the School of Engineering and the Built Environment. 

Are you an experienced administrator with a passion for providing an outstanding service to a wide range of stakeholders? We are looking for a team member to provide high quality, efficient and effective administrative support to our school. The role is varied and duties will include working on our reception desks, dealing with enquiries, updating our student records system, supporting compliance activities and school events.

Working as part of the established school and course administration team, you will be working alongside academic colleagues and students to ensure they receive an outstanding service.

Main Duties and Responsibilities

Working as part of the school and course administration team, the Administrative Assistant will;

effectively manage queries from start to finish for students and staff, this includes working on the main reception desk but also online queries or via email,

Signpost students to the correct support services across BCU dependent on individual requirements,

support examination boards,

plan and book travel (international and UK based),

support with course level administrative tasks such as mid-module reviews, updating SITS (students records systems), replacement ID cards,

issue letters on request such as council tax letters,

support the administration of UKVI Tier 4 attendance monitoring,

clerk meetings,

order supplies for the school and also logging specific requests such as maintenance work

Skills and Experience

relevant vocational qualifications such as a NVQ Level 3 in Business Administration or able to demonstrate equivalent work experience and relevant skills,

a good level of literacy and numeracy for example GCSE grade C or equivalent,

demonstrate a can do attitude demonstrating accountability and responsibility for own tasks,

sound knowledge of clerical duties including taking minutes, dealing with written queries and responses, arranging meetings,

experience of working in a highly customer focused role,

strong communication skills with the ability to solve problems and work on own initiative,

strong IT skills including Microsoft Office is essential and knowledge of SITS is desirable.
