Birmingham City University is a large and diverse place to study right in the heart of the city and we currently have an exciting opportunity for a Personal Assistant to join our dynamic team.  The Faculty of Computing, Engineering and the Built Environment are currently recruiting for a PA to provide a professional, pro-active and confidential support to the Senior Leadership Team.

The role is based at our City Centre Campus located in Birmingham.

Main Duties and Responsibilities:

Maintaining a comprehensive and dynamic diary of appointments.Maintaining a comprehensive system of files and records, including security and confidential information and update records as required.Prioritising, co-ordinating and arranging meetings, including the distribution of papers and agendas, taking forward any points of action.Acting as gate keeper and first point of contactMaintaining records of work, issues pending and work in progress, and to prioritise work to meet both internal and external deadlines.Prioritising, initiating and responding to internal and external enquiries.Maintaining the highest levels of security and confidentiality, and ensure the integrity of all data, systems and networks with which the post holder is involved.Providing support for an extensive range of meetings.

Skills and Experience:

Essential

A degree or equivalent experience which demonstrates comparable skills and abilityPrevious experience as a PA in a team-based environmentStrong organisational skills to multi-task, with an ability to prioritise an often conflicting workloadExcellent communication skillsExcellent problem solving and decision making skills                           High level of literacy and numeracyExcellent IT skillsExcellent attention to detail, including proof reading skills, with the ability to maintain a high level of accuracyAbility to draft a high standard of written correspondence on own initiativeExperience of working with confidential material and diary managementExperience of arranging/ facilitating meetings and associated activitiesExperience of minute writingExperience of involvement in setting up, reviewing and maintaining paper and IT based filing and information systems
