About the Role

The Personal Assistant will be responsible for providing effective high quality administrative support and playing a key role in coordinating admin services across the portfolios.  This includes liaising with internal colleagues and those external to the University.  The post holder will also provide support for key projects, workshops and meetings across the portfolio, leading on these when necessary.

Specific Duties and Responsibilities of the Post

The post holder will provide full administrative support in all aspects of daily work, often working to extremely tight deadlines. He/she will act on  in various matters, to enable the function/responsibilities of the University to be carried out efficiently and to the highest standard.They will be responsible for ensuring all travel arrangements are booked in-line with the University’s financial regulations. They will have responsibility for receiving and dealing with emails in a timely manner.The post holder will be responsible for task planning, preparing agendas and papers for meetings (both formal and informal), acting as secretary at informal and formal meetings and ensuring agreed actions are progressed in a timely manner.The post holder will develop and maintain appropriate processes to ensure the office runs efficiently and effectively, and will support in managing budgets within the portfolio. He/she will organise meetings and events within each portfolio.The post holder will play a key role in organising and communicating aspects of projects within each of the portfolios to ensure deadlines are maintained and prioritised. He/she will draft a range of reports and presentations for senior management.  There will be extensive liaison with individuals and departments both within and outside the University, including members of the University Council and ULT.

Whilst the hours of work for this role are Monday to Friday, covering normal office hours, there will be the occasional requirement for support on weekends and evenings.
