The Energy and Environment Institute is seeking to appoint an experienced administrator to work alongside the Executive Officer and provide effective high quality administrative support to the Institute. 


You will carry out a wide range of administrative tasks to support the Institute’s business and day to day operations including research activities and grants, events, conferences, workshops and projects and internal HR, estates, ICT and finance functions. In addition the post holder will support the team in the development of marketing materials and the Institute’s web presence and project web sites, working with the central University and marketing and communication team as required.


Tasks and responsibilities will include complex diary management, acting as secretariat for EEI meetings, managing expense claims and assisting with the coordination of recruitment and induction procedures. In addition you will work with the faculty and central university teams to coordinate all purchases of goods and services for the Institute team including travel planning and the development and maintenance of processes, reports and documentation. Additional responsibilities will include providing administrative support for specific projects and events and workshops including event planning and coordination. In addition you will be expected to contribute to the development and maintenance of processes and systems to enhance the Institutes activities and promote efficiency.


Applications are sought from those prepared to work flexibly, efficiently and collegiately in a busy environment. You will have excellent planning and organisation skills with the ability to prioritise tasks effectively in order to provide an excellent support service to colleagues. You will have excellent communication skills enabling you to liaise effectively with external partners and internal colleagues, and you must have a willingness to work as a positive member of the team. You must have substantial administrative experience covering a board range of tasks and be able to demonstrate accuracy and attention to detail and the ability to use initiative to offer solutions. Experience of working with web based content management and file sharing systems, such as Box and SharePoint, is desirable as is experience of document formatting and presentation software, such as PowerPoint.
